Please carefully read the following Terms and Conditions and make sure that you understand them before placing an order with Heronswood Ltd.
Terms and Conditions
These Terms and Conditions will apply to any contract between us for the sale of goods and services to you. Your acceptance of our quote will take place when you place your order and return a signed copy of these Terms and Conditions, at which point a contract will come into existence between you and us. If you refuse to accept these Terms and Conditions, Heronswood Ltd. will not be able to supply goods and services to you. 
Heronswood Ltd. reserves the right to change these Terms and Conditions at any time. Any such changes will take effect as soon as you are given an updated copy, it is your responsibility to read the Terms and Conditions on each occasion it is updated.
All orders placed with Heronswood Ltd. will be subject to these Terms and Conditions. Heronswood Ltd. reserves the right to cancel an order at any stage.  
A timeline will be created for you as soon as an order has been placed. The timeline will show when each stage of the process is due to commence and at which stage payment is due. It is important that you notify Heronswood Ltd. immediately if you are unable to work to the schedule as any delay in supplying feedback, providing copy or approving proofs/artwork may result in a delay to your order.
Please allow 10 – 12 weeks for a bespoke design.
We will always try to accommodate tighter timescales if we can, but some schedules may incur a rush fee. Please mention your timescale at your initial enquiry.
Estimates and payments
Upon approval of the estimate sent by Heronswood Ltd. a non-refundable deposit of 50% of the estimated cost will be required before any design work can begin. An invoice for the deposit will be sent by Heronswood Ltd.
Once final proofs have been agreed the remainder of the balance will be due (or 25% of the remaining balance if ‘On The Day’ stationery has been ordered) before printing will begin.
All costs are quoted in and are to be paid in pounds sterling by bank transfer. All quotes are exclusive of VAT. Bank details will be provided on the invoice sent by Heronswood Ltd.
Heronswood Ltd. cannot be held responsible for any delay to delivery as a result of late payment.
Proofs and artwork
PDF proofs and final artwork will be sent via email, unless specifically requested. Great care is taken to ensure all information is accurate, however it is ultimately the responsibility of the client to check layout, copy, spelling and grammar. If designs are approved with type errors and subsequently printed Heronswood Ltd. takes no responsibility, and will not be liable for any resulting cost. If replacements are required then they will be charged for in full. It is therefore of the upmost importance that you check all spelling and copy thoroughly before approving any designs.
Please note that the colour on your screen may differ from printed colour, each screen is calibrated differently and this is particularly noticeable on phones and tablets.
It is therefore advisable to print off all PDF proofs and final artwork before giving your approval. This will help to ensure that the scale is correct, and that all fonts can be read at the correct size, and that you are happy with the colour. Please bear in mind that printers also vary and that your final stationery will be printed on the highest quality professional print press, therefore the colours may differ slightly. Colour tests can be done at an additional cost.
Design and proofing takes time and this has been factored in to the cost. Heronswood Ltd. provide 3 free proofs and 2 proof revisions for each item, thereafter proofs will charged at £10.00 each. I recommend that you carefully check the design and content and clearly notify Heronswood Ltd. of any information that needs to be amended straight away.
Minimum orders
There is a minimum order of 25 Invitations or Save The Date cards due to the time involved in creating artwork and printer minimum quantities. 
It is advisable to order both day and evening Invitations at the same time to avoid any additional special order fees. If an additional order is received for fewer than 25 of an item, a special order fee will apply.
‘On The Day’ stationery is only available to customers who also purchase ‘Before The Day’ stationery or table plans or orders of service.
The utmost care will be taken when packaging your stationery for delivery. Orders will be sent by a next day courier service or Royal Mail Special Delivery and a signature will be required. The cost of UK delivery is included in our price estimate. We do not offer an overseas delivery option. A delivery date and delivery address will be confirmed with you before your stationery is posted, it is important that you provide an address where someone will be able to sign for it.
If using the Heronswood Ltd. postage service, Heronswood Ltd. is not liable for any missing Invitations and proof of postage will be obtained where possible.
Amendments and liability
Once an order has been placed, we will do our best to accommodate any amendments that you request to numbers and requirements. However, once any third party costs have been incurred, it will not be possible to cancel an item.
Any orders cancelled before proofs have been sent will receive payment back in full of any sums paid less the non-refundable deposit. However, once proofs have been approved, the full amount will be charged.
Heronswood Ltd. cannot be held responsible for any loss or damage to your order once it has been dispatched.
We will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under these Terms and Conditions (or any other agreement between us) that is caused by any act or event beyond our reasonable control. If such an event occurs, we will contact you as soon as reasonably possible to notify you, our obligations will be suspended and the time for performance of our obligations will be extended for the duration of the event and we will arrange a new timeline and delivery date.
All stationery artwork and designs remain the copyright of Heronswood Ltd., they may not be reproduced in any form without prior written permission from Heronswood Ltd. Any improper or illegal use of the stationery, artwork or designs or any other intellectual property rights will be pursued.
It is the clients’ responsibility to get permission to reproduce any copyrighted material, such as the words of hymns or poems, which are to be featured in the stationery. You shall indemnify Heronswood Ltd. on written demand in respect of any third party claims that material provided by you infringes that third party’s copyright.
Heronswood Ltd. reserves the right to use any stationery created for you to promote its products and services. However, we will never share any of your contact details with third parties.
These Terms and Conditions are between you and Heronswood Ltd. No other person shall have any rights to enforce any of its terms, whether under the Contracts (Rights of Third Parties) Act 1999 or otherwise.
These Terms and Conditions (and any non-contractual obligations arising out of or in relation to them) shall be governed by English law and subject to the exclusive jurisdiction of the English courts.
